Pathway Renewals

Summary

Pathway renewals allow you to set up a pathway which requires completing more than once. You have the ability to set a specific renewal period, after which all users allocated to the pathway (via any allocation rule) will have their pathway completion status reset. The pathway renewals feature can either be set to renew ”X” number of days after a user completes the pathway or it can be set to “X” number of days after the user starts the pathway. This guide will show you how to enable and correctly setup renewals within a Learning Pathway.

Step 1 - Navigate

You can find the pathway renewals page from within any pathway by going to the following, whilst logged in as a site administrator:

Site administration > General > Manage pathways > *Pathway name* > Renewals

Step 2 - Create

By default, renewals are disabled when you first create a learning pathway. In order to enable renewals, you’ll first need to change the “Enable Renewal” option to “Enabled”. This will unlock the “Renew after” date selection tool. 

You can then set the renewal period using either of the two options below.

After completion date

This renewal date is triggered from the date the user completes the learning pathway. Meaning, only users who have completed the pathway will trigger the renewal cycle. 

In order to set this renewal date, choose the “After completion date” option and set the period of time after completion in which you’d like the pathway to reset and require recompletion by your users. 

For example, using the renewal date shown below, if a user completes the pathway on the 1st January 2023, on the 1st of January 2024 the pathway will reset and the user will be notified that they need to re-complete the pathway.

After start date

This renewal date is triggered by the user's start date within the learning pathway. That is the “Availability” start date which is setup within the pathway “Schedule”. Typically, this would be the date the user is allocated to the pathway, but this can be a specifically selected date. 

This renewal period will apply to all users who have been allocated to the pathway regardless of whether or not the pathway has been completed. 

In order to set this renewal date, choose the “After start date” option and set the period of time after completion in which you’d like the pathway to reset and require recompletion by your users. 

For example, using the renewal date shown below, if a user starts the pathway on the 1st February 2023, on the 1st of February 2024 the pathway will reset and the user will be notified that they need to re-complete the pathway.

Step 3 - Save

Following the steps highlighted above click “Save”, you’ll now have your renewal period enabled and set up as required. This renewal function will be in place for all users which have been allocated to your pathway whether that be via allocation rules or manual allocation. To disable the renewal process, you can change the “Enable Renewal” option to “Disabled” and this will remove all current countdowns to renewal.
